Okouro docs

A quote is a quotation raised against an opportunity, and every quote requires one. All business roles (administrator, operations, executive) create and work quotes.

The list

The Quotes page shows each quotation with Reference, Client, Status, Total, Valid until, and Sent. Filter with the status chips or search by reference.

StatusReached by
DraftCreated, awaiting dispatch
SentChosen Send
AcceptedChosen Accept
DeclinedChosen Decline
ExpiredDerived: a Sent quote past its Valid until date

Expired is not a status you set. The list derives it from the valid-until date.

Create a quote

Reach the editor from the opportunity (New quote on the opportunity detail) or from the Quotes page.

  1. In Quote details, pick the Opportunity. It is preselected and locked when you arrive from one. Set an optional Valid until (the quote lapses after this date) and the Terms, which print on the document as-is. Choose the Template. Account default follows the template flagged default in Organization settings.
  2. In Bill to, confirm the block copied from the client. It is adjustable afterwards. Name is required. Address, City, Website, Contact person, and Email are optional.
  3. In Priced lines, add the lines with Add line. Each line is priced alone and discounted alone.

Each line picks one of two pricing modes:

ModeFields
Days x rateProfile, Description, consultant (optional), Days, Day rate, Disc. %
Fixed feeProfile, Description, Amount, Disc. %

Choosing a consultant suggests a day rate from their cost when the Day rate field is empty. Discounts run from 0 to 100 percent, and amounts round to two decimals. Subtotal, Discount, and Total follow your entries live.

Incomplete quotes do not save: the opportunity, the bill-to name, and every line must be complete. Finish with Create quote, or Save quote when editing.

View a quote

The view renders a replica of the document: Reference, Issued (the day the quote was marked sent), Valid until, Template, the Prepared for block, the priced lines with totals, the Terms, and Signature and Date lines.

The actions beside it:

  • Download PDF: exports the quote on its template.
  • Send: on Draft quotes. Marks the quote Sent.
  • Accept and Decline: on Sent quotes. They close the quote. Decline requires a reason, which is kept on the record.
  • Edit: revise the validity, terms, and lines.
  • Delete: removes the quote and its lines after confirmation.

Beside the document, the Profitability panel estimates Revenue, Cost, and Margin. Cost is computed from the consultants’ daily costs on the rate-based lines. When a contributing consultant has no cost, the cost and margin are withheld, and the panel notes that it is an internal estimate hidden for some roles.

Immutability

The Reference is assigned at creation and never changes. The status moves only through the lifecycle actions: Send disappears once the quote leaves Draft, and Accepted or Declined closes the quote for good.

Quote templates

Templates are the named SVG layouts quotes render from. Administrators manage them in Organization settings: download the starter template (a .svg file), upload new ones, and set one as the account default. At most one template is the default per account. See Organization settings.
