Okouro docs

Time off records the absences your consultants request, from vacation to reduced-working-time. The kinds of absence your team can request are configured per account by an administrator in Organization settings - typically pto and sick leave, but the list is yours to define. If no kinds are configured, nobody can request time off.

Who can request

Any user with a linked consultant profile can request time off for themselves. Administrators may also request on behalf of any consultant. Administrators see the whole account’s requests; team leaders see their team’s requests, their own profile plus the consultants they manage; everyone else sees only their own.

Make a request

  1. Open Time off and start a new request.
  2. Choose the Kind from the kinds your administrator configured.
  3. Pick the Start and End dates. A single request spans at most 31 days.
  4. For a single-day request, set the Day extent: Full day, First half (morning), or Second half (afternoon). Multi-day requests cover whole days.
  5. Optionally add a Reason.
  6. Submit the request. It enters Pending.

Overlap rules

A range must not overlap the consultant’s other Pending or Approved requests. A whole day clashes with either half of that same day, but two different halves of the same day can coexist. Multi-day ranges clash wherever they intersect.

Statuses

StatusMeaning
PendingWaiting for a decision
ApprovedGranted; reduces staffing capacity
RejectedRefused, with a reason
CancelledWithdrawn; kept for history

Decide a request

Approving and rejecting are open to administrators and team leaders, and act only on Pending requests. A team leader acts only on their subordinates’ requests, never their own. Rejecting requires a reason, which is shown back to the requester.

Cancel a request

The owner or an administrator can cancel a request while it is Pending, or once it is Approved if its start date has not passed yet. Requests are never deleted; cancelling preserves the history.

Effect on capacity

Only Approved absences reduce staffing capacity. Pending requests reserve nothing, so the forecast reflects confirmed time off alone. See Staffing for the resulting projection.

Your Pending and upcoming requests also appear on the Dashboard.
